Position Overview
The Client Experience & Insurance Operations Specialist is responsible for helping create exceptional client experiences while managing insurance operations, client follow-up, review scheduling, and practice workflows. This is not a commissioned sales position. Success in this role comes through client service, relationship management, operational excellence, and helping create an exceptional client experience.
What Success Looks Like
A successful team member:
- Keeps client reviews and follow-up activity moving forward consistently.
- Helps maintain a full and productive advisor calendar.
- Creates positive client interactions that make people feel welcomed, valued, and cared for.
- Owns insurance applications, underwriting, and servicing workflows from start to finish.
- Communicates proactively and follows through with minimal supervision.
- Identifies issues before they become problems.
- Creates capacity for the advisor to spend more time meeting with clients and less time managing administrative tasks.
Primary Responsibilities
Client Experience & Relationship Management
- Schedule client reviews and follow-up appointments
- Conduct client outreach and review scheduling calls
- Complete reminder calls and confirmations
- Creates a welcoming client experience
Insurance Operations
- Coordinate life insurance applications through placement
- Facilitate underwriting requirements and follow-up
- Communicate regarding forms and outstanding requirements
- Review applications and service requests for completeness
- Manage policy servicing needs
Practice Operations
- Maintain CRM records
- Track outstanding tasks and follow-ups
- Assist with meeting preparation
- Maintain workflow organization
- Escalate items requiring advisor attention
Projects and Process Improvement
- Website updates
- Client communications
- Event coordination
- Marketing support
Qualifications
Required:
- Strong interpersonal and communication skills
- Professional phone presence
- High attention to detail
- Strong organizational skills
- Ability to work independently and take ownership
Preferred:
- Customer service, banking, insurance, financial services, healthcare administration, education, or office administration experience
- CRM experience
- Life & Health license or willingness to obtain within 90 days

Compensation & Benefits
- Full-time position with flexible work environment
- Competitive compensation based on experience and qualifications
- Expected salary range: $50,000-$65,000
